AI receptionist vs. answering service for contractors
Both answer the phone when you can't. The difference is what happens next: a traditional answering service usually takes a message, while an AI receptionist books the visit on your calendar during the call.
Side by side
| AI receptionist | Traditional answering service | |
|---|---|---|
| Answers | Every call at once, day and night | Agents answer in turn; busy times can mean hold or voicemail |
| Books the visit | Puts it on your calendar inside your hours, while the caller is on the line | Usually takes a message for you to call back |
| Pricing | Flat monthly plan with included minutes | Often per minute or per call, with minimums |
| Knows your shop | Your hours, services, prices and service area, updated from your portal | Works from a script you send them |
| After the call | Recording, transcript and booking in your portal, plus a confirmation text to the customer | A message by email or text |
| Unusual calls | Takes a message and flags it; it won't improvise | A person can handle odd situations |
When each one fits
An AI receptionist fits shops where most calls are the same few things: a system that stopped working, a leak, an estimate, a reschedule. Those calls need the same details every time, and booking them on the spot keeps the customer from calling the next shop.
A live answering service fits when many calls need a judgment call a script can't make, or when your customers expect a person. Some shops use both: AI for booking and routine calls, a person for everything else.
The cost of a missed call
Many callers who reach voicemail hang up without leaving a message and call the next shop. Put your own numbers into our missed-call calculator to see what unanswered calls cost you in a month.
Questions
Will customers know they're talking to an AI?
It answers in your business's name and never claims to be a person. If a caller asks, it says it's an AI assistant and keeps the call moving.
Is a live answering service ever the better choice?
If most of your calls need judgment a script can't cover, or your customers strongly prefer a person, a live service can fit better. Many shops use an AI receptionist for booking and routine calls and keep a person for the rest.
What should I ask any answering service before signing?
Whether it books into your calendar or only takes messages, what happens after hours and during your busy season, how pricing works when you go over, and whether you can hear every call.
