Privacy Policy
Effective October 13, 2026
Rolume provides an AI phone receptionist for contractors, home service companies, restaurants and other local businesses. This policy explains what information we handle, why, and what choices you have. It covers four groups of people: visitors to rolume.com, the contractors who are our clients, the customers who call or get texts from a client's business, and the independent contractors who work with Rolume.
Visitors to this website
When you send the demo request form we collect what you type: your name, business name, phone number, email, trade, a rough count of weekly calls, any message, the numbers you entered in the calculator if you used it, and whether you ticked the box to get texts about your demo. We use this to contact you about a demo and to build one for your business. A person from Rolume calls or emails you; we don't use automated or prerecorded calls. We only text you if you ticked the box.
We keep a scrambled (hashed) version of your internet address with the request so we can limit spam. We do not use advertising trackers or analytics cookies on this site.
Clients and their teams
If you are a client, we keep your account details: business name, hours, arrival windows, plan, billing status, the business phone and review link used in texts, and the names, user IDs and email addresses of the people you give portal logins to. Passwords are stored only as one-way hashes, so nobody at Rolume can read them. The portal sets one cookie to keep you signed in. We also keep a record of when your account owner agreed to our Terms of Service.
The portal also stores what you and your team add to it: crew members, who is assigned to a visit, bookings you add yourself, changes to visit times, notes, messages to Rolume, and calls you flag for review.
Card payments are handled by Stripe. Your card number goes straight to Stripe and never reaches Rolume; we only see the payment status and the last digits of the card.
People who call a client's business
When you call a business that uses Rolume, our AI receptionist answers on that business's behalf. Calls may be recorded and transcribed, and the call says so at the start. During the call we collect what is needed to book the visit: your name, service address, callback number, a description of the problem, and the time you want. An email address is collected only if you choose to give one.
This information belongs to the business you called. We handle it for them so they can schedule and carry out the work, and they can see the recording, transcript, booking details and texts in their portal. We don't use it for anything else, and we don't sell it. If you want a copy of your information or want it deleted, contact that business, or contact us and we will pass the request to them.
Text messages
If you book a visit by phone, the business texts the number you gave on the call to confirm the visit time, again if the visit moves, and once after the visit to ask for a review. Each text names the business. Message frequency depends on your bookings, usually two or three texts per visit. Message and data rates may apply. Reply STOP to opt out of texts from that business, or HELP for help. Replying STOP puts your number on that business's no-text list, and you won't get texts from it again unless you reply START.
If you request a demo on this site and tick the box to get texts, Rolume may text the number you gave about your demo, a few times at most. Reply STOP to opt out or HELP for help. Message and data rates may apply.
We do not sell or share mobile phone numbers or text messaging consent with third parties or affiliates for marketing or promotional purposes. Mobile information is shared only with the providers that deliver the texts.
Signing up online
When a business owner signs a proposal on this site, we keep the signed service order with the name, title and email typed, the time, and the network address it was signed from, as the record of the agreement. Each month we email the account owner a summary of what their receptionist did.
People who apply to work with Rolume
If you apply on our careers page we keep your name, email, phone, the role, what you tell us, and a scrambled (hashed) version of your internet address to limit spam. We use it only to consider you for this work. If we don't work together, we delete it a year after our last update.
People who work with Rolume
If you are an independent contractor with Rolume (sales, sales management or integration), the portal keeps what is needed to work with you and pay you: your name, email, mobile phone, signed agreements (with the time and network address of each signature), the tax form W-9 you complete (including your taxpayer ID), your bank details for direct deposit, a record that you are 18 or older (your date of birth is checked and not stored), your pay records, and what you do in the portal. Your taxpayer ID and bank numbers are encrypted with their own key, only the last four digits are shown, and only the Rolume admin can see the full numbers, which is logged each time. We use this to pay you, file tax forms such as the 1099-NEC, and keep the records the law requires, and we keep tax records for as long as the IRS requires (at least four years).
Who we share information with
We do not sell personal information. We share it only with the service providers that run Rolume, and only so they can provide their service to us:
- Our voice technology provider, which runs the receptionist and stores call recordings and transcripts
- Twilio and the mobile carriers, which send and deliver texts
- Phone carriers that connect calls
- Stripe, which processes card payments
- Cloudflare, which hosts this website and the portal
- Slack, where our team gets alerts about new demo requests and client messages
- An email provider, if we email you portal links
We may also disclose information when the law requires it, or to protect the safety and rights of our clients, their customers, or Rolume.
How long we keep it
Demo requests are kept while we are in touch with you and deleted on request. Client account and portal information is kept while the account is active. Call recordings, transcripts and texts are kept for the client while their account is active, and are deleted when the client asks, or within 90 days after the account closes. Billing, tax and pay records are kept as long as the law requires.
Security
The portal is served over an encrypted connection, passwords are hashed, two-step sign-in is available on every login, the keys that connect a client's account to its receptionist are stored encrypted, taxpayer IDs and bank details are encrypted, and each client can only see its own calls. No system is perfectly secure, so we cannot promise absolute security. If we learn that your personal information was accessed without permission, we will tell you as Colorado law requires, within 30 days.
Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email [email protected] and we will respond within 30 days. If your information came from a call to one of our clients, we will work with that business to answer your request.
Children
Rolume is a service for businesses. It is not directed to children under 13, and we do not knowingly collect their information.
Changes
If we change this policy we will post the new version here with a new effective date. If a change is significant we will tell clients directly.
